Role overview

Position Summary
We are seeking an experienced Payroll Supervisor to lead a team of payroll professionals and oversee day-to-day payroll operations. This role is responsible for ensuring payroll is processed accurately, on time, and in compliance with applicable federal, provincial, and local regulations.
The Payroll Supervisor will provide operational leadership, performance coaching, issue resolution, and process improvement initiatives while supporting a high-volume payroll environment.
Key Responsibilities
Payroll Operations Leadership

  • Provide daily leadership and oversight of the payroll team.
  • Supervise Senior Payroll Specialists, Payroll Specialists, Payroll Assistants, and Payroll Associates.
  • Ensure all payrolls are processed accurately and on schedule.
  • Act as the second-level escalation point for payroll-related issues.

Team Management & Development

  • Conduct performance reviews and coaching sessions.
  • Approve PTO requests and employee timecards.
  • Participate in hiring, onboarding, performance management, and progressive discipline processes.
  • Lead departmental meetings and support team development.

Payroll Processing & Compliance

  • Oversee payroll processing, including:

  • Personnel changes
  • Tax updates
  • Overtime calculations
  • Bonus payments
  • Payroll adjustments
  • Ensure compliance with federal, provincial, and local payroll regulations.
  • Support payroll deductions, garnishments, insurance programs, benefits, and tax filings.

Reporting & Administration

  • Prepare payroll-related reports and summaries.
  • Generate wage summaries, including:

  • Earnings
  • Taxes
  • Deductions
  • Leave balances
  • Pension and benefits information
  • Collaborate with internal departments on payroll corrections, voids, and adjustments.

Process Improvement

  • Develop and implement payroll best practices.
  • Identify opportunities to improve payroll efficiency, accuracy, and service delivery.
  • Support continuous improvement initiatives across payroll operations.

Required Qualifications

  • 5–7 years of payroll processing experience, preferably within payroll services, HR outsourcing, or a related industry.
  • Experience managing multi-provincial Canadian payrolls.
  • Prior leadership or supervisory experience within payroll operations.
  • Strong knowledge of payroll legislation, payroll taxes, deductions, garnishments, and compliance requirements.
  • Strong Microsoft Office skills, particularly:

Required Certifications

  • PCP (Payroll Compliance Practitioner) or PLP certification required.
  • CPM (Certified Payroll Manager) designation strongly preferred.
