General Accountability:
Reporting directly to the President and Chief Executive Officer (CEO), the Executive Assistant provides high-level, confidential administrative support in a one-on-one working relationship. The Confidential Executive Assistant serves as the primary point of contact for internal and external partners on all matters pertaining to the office of the President and CEO. The Executive Assistant also serves as a liaison to the executive leadership team. This role will coordinate the activities and coverage of the out of scope Confidential Executive Assistants.
POSITION QUALIFICATIONS:
- A post-secondary certificate in office education and 5 – 7 years administrative experience.
- Knowledge of office management and administrative procedures and protocols.
- Consideration will be given to a suitable combination of education and experience.
Skills:
- Demonstrated ability to support senior level administrators and to work effectively and discretely with confidential and sensitive information is essential.
- Ability to input, edit, retrieve, format, transmit and link file data, create and generate queries, diverse reports and documents utilizing word processing databases, spreadsheets, communications and other software packages with speed and accuracy.
- Capable of communicating effectively, both in writing and verbally, including communication of complex issues, policies, and procedures to a variety of audiences.
- Ability to analyze and resolve problems by applying initiative, practicing due diligence and sound judgment when responding to requests and dealing with confidential information.
- Ability to positively influence, persuade or convince others in order to reach a mutually acceptable or workable solution/agreement.
- Ability to work independently and participate as a team member to meet the needs of the Agency and build positive relationships.
- Ability to manage workload, establish priorities and organize multiple tasks while taking into consideration changing circumstances, frequent interruptions, competing deadlines, available resources and, in some instances, multiple reporting relationships.
- Ability to systematically search and assess data to develop informational material and reports and/or to make decisions about the application of policies and procedures.
- Knowledge of culturally responsive care for First Nations and Métis people.
