Position Summary The Logistics & Quality Coordinator is responsible for coordinating inbound and outbound freight activities, managing shipping and receiving operations, maintaining accurate inventory records, ensuring compliance with domestic and cross-border shipping requirements, and supporting efficient product flow throughout the organization. This role serves as a key liaison between Production, Procurement, Retail, and Wholesale teams while also overseeing equipment maintenance programs to ensure operational efficiency and workplace safety. Key Responsibilities Leadership & Team Management Serve as the primary liaison between Production, Retail, Wholesale, and Procurement departments to coordinate logistics activities and support efficient product flow. Assign work to the shipping and quality control team, establish priorities, and ensure workloads are balanced to meet operational requirements. Ensure customer inquiries related to shipping and logistics are addressed promptly and professionally. Promote a culture of accountability, safety, teamwork, and continuous improvement. Lead daily/weekly team meetings to communicate priorities, shipping schedules, safety updates, and operational goals. Communicate delivery schedules, shipment status, and updates to wholesale and retail customers. Work closely with Production and Shipping teams to prioritize orders and manage shipping timelines. Shipping & Receiving Operations Receive incoming products, including mulch, fertilizers, and customer returns. Process and coordinate outbound courier shipments. Ensure all receiving documentation and product tags are accurately completed and submitted. Conduct product sampling activities as required. Verify product labeling, packaging, and shipment accuracy prior to dispatch. Maintain inventory accuracy between warehouse records and physical stock. Logistics Coordination Coordinate all inbound and outbound freight activities. Schedule and monitor shipments with carriers, couriers, freight brokers, and trucking companies. Schedule and coordinate company truck delivery routes daily. Create and manage daily Bills of Lading (BOLs) for company trucks, LTL, and FTL shipments. Ensure shipping documentation is accurate, complete, and submitted on time. Track shipments and proactively resolve transportation issues, delays, shortages, and damage claims. Coordinate insurance claims related to damaged or lost shipments. Monitor freight costs and identify opportunities for cost savings and process improvements. Develop and maintain relationships with logistics providers and freight partners. Equipment Maintenance Coordination Develop and maintain an equipment inspection and preventative maintenance schedule. Coordinate routine maintenance and repairs for warehouse equipment, forklifts, and other operational machinery. Maintain equipment service records and ensure maintenance activities are completed on schedule. Report equipment deficiencies and coordinate corrective actions to minimize operational downtime. Promote safe equipment operation and compliance with workplace safety standards. Process Improvement & Compliance Prepare and maintain U.S. shipping documentation, customs paperwork, and border crossing requirements. Ensure compliance with all applicable transportation, customs, and regulatory requirements. Develop, implement, and maintain standard operating procedures (SOPs). Identify opportunities to improve productivity, efficiency, accuracy, and customer service. Track operational performance metrics and report results to leadership. Qualifications Previous 3-5+ years of experience in shipping, receiving, logistics, warehouse operations, or supply chain coordination. Previous supervisory or team leadership experience. Experience preparing shipping documents, Bills of Lading, and cross-border documentation. Strong organizational and time management skills. Excellent communication and customer service abilities. Proficiency with inventory management systems and Microsoft Office applications. Ability to prioritize multiple tasks in a fast-paced environment. Forklift certification or willingness to obtain certification is considered an asset. * Knowledge of equipment maintenance practices is an asset.
