The Backbone Behind Great HR

We’re not looking for someone who already has every HR credential figured out. We want someone with sharp administrative instincts, rock-solid organizational skills, and the drive to learn. Someone who takes pride in getting the details right and building the systems that keep a company running smoothly.

You’ll be a key support to our Culture & Talent team, working closely alongside our Director of HR to keep the administrative side of recruitment, onboarding, records, and compliance running like clockwork. You’ll bring strong admin skills, initiative, and a genuine willingness to learn everything HR.

What You’ll Actually Do

You’ll support the administrative backbone of our HR department alongside the Director of HR - keeping things organized, accurate, and moving. Here’s what your days will look like:

HR Administrative Support

  • Maintain and organize employee files, records, and HR databases with accuracy and confidentiality
  • Support recruitment logistics - posting job ads, scheduling interviews, and coordinating candidate communication
  • Assist with onboarding paperwork and new hire file setup
  • Help coordinate culture-driving activities, events, and team-building moments
  • Track and organize certifications, training records, and other compliance documentation

Scheduling & Coordination

  • Manage calendars, meeting logistics, and correspondence for the HR department
  • Coordinate logistics for company events, culture initiatives, and team meetings
  • Support day-to-day office administration tasks for the HR department as needed
  • Prepare, format, and proofread HR correspondence - letters, memos, and reports - with a sharp eye for detail
  • Assist in preparing documentation for disciplinary actions and terminations under the Director of HR’s guidance

Compliance & Records

  • Support the Joint Health and Safety Committee with scheduling, minutes, and documentation
  • Help track that operational and safety training is completed for new and existing team members
  • Assist with WSIB claims paperwork and tracking from start to finish
  • Help maintain accurate records that support provincial and federal labour law compliance

Who You Are

You might not check every single box - and that’s okay. But here’s what we’re looking for in our ideal person:

  • 1+ years of administrative experience - HR experience is a bonus, not a requirement
  • A post-secondary diploma or degree in Business, Administration, HR, or something that gave you a strong foundation
  • Advanced proficiency in Microsoft Office (Excel, Word, Outlook) and comfort learning new systems
  • Strong written communication skills - you can draft a clean, professional email or letter
  • A proactive, eager-to-learn mindset - you want to grow your career into HR over time
  • Comfortable juggling multiple priorities and deadlines without dropping the ball
  • Sharp organizational skills and attention to detail that borders on obsessive (we mean that as a compliment)
  • Discretion and trustworthiness - you can handle confidential information appropriately
  • Someone who can hold confidential information like a vault while still being warm and approachable
  • Someone who loves rolling up their sleeves and getting the details right
