Leasing & Building Administrator

We are looking for a customer focused and detail oriented individual to join our team here in London as a Property Administrator.
This position is a full time, onsite position and reports to the Director of Operations.
Priorities change regularly in this position and the Leasing & Building Administrator must be flexible and willing to change roles and responsibilities as required.
Primary Responsibilities
Rental Applications

• Processing submitted applications on propertyware
• Contact current/former landlords and employers to verify information; conduct credit and background checks
• Advise allapplicants of approval or decline and amount owing prior to move in then relay same information to Managers of Resident Experience (MREs).

Leases

• Create Tenancy Agreements and send out for signature
• Maintain and update propertyware; convert leases, add auto charges, Prompt Payment Discount (PPD), Last Month’s Rent (LMR) and Key Deposit and prorate charges to ledger
• Ensure all move-in tasks are completed; payment received in full, signed Tenancy Agreement and Addendums are uploaded, Incoming Inspection

Move Ins/Outs

• Maintain and assist with coordination of move-in/move-out schedules
• Process Notices to Vacate in propertyware, assist with the coordination of move outs by ensuring preliminary and final inspections are conducted and uploaded
• Keep record of keys returned, obtain and record forwarding address in propertyware

Administration

• Complete and facilitate resident requests to transfer and assign units, process applications, prepare necessary paperwork, set up transfers and assignments
• Completing monthly administrative audits
• Add Administrative Fees and other charges to propertyware

Special Projects

• Assist with new building acquisitions; uploading documents, assist with preparation of Welcome Packages, parking passes etc.
• Work with head office to create new administration procedures and training materials
• Other duties as assigned

Skills and Qualifications

• 1+ years of experience working in property management or administration is an asset
• Knowledge of the Residential Tenancies Act is an asset
• Computer proficiency and the ability to learn property management software
• Verbal and written communication skills and the ability to produce accurate documentation
• Ability to remain calm in stressful situations and to maintain a high level of confidentiality
