Reports To: Director of Engagement
The Globe Theatre’s mission is to entertain, educate and engage in the art of professional theatre through producing high-quality performances, providing theatre education and serving as a valuable part of the Regina community. The Development Administrator will be particularly linked to that mission by ensuring that stakeholder communication and administrative practices are focused through the lens of our mission.
The Development Administrator is responsible for the day-to-day processes around fundraising and sponsorship administration. They will manage the department schedules and work closely with the Director of Engagement and the Community Development Strategist on prospecting, contract writing, research, database management, and information management. They will take and file meeting notes, manage spreadsheets and databases, research grants and foundations, maintain our project management software, update our CRM, oversee tax receipts, copy edit and proof digital and physical donor materials, and track communications. They will also work closely with our Accounting and Sales departments.
You will need the following skills to be successful: time management, oral and written communication, scheduling, discretion, spreadsheet and database proficiency, willingness and ability to make cold calls, and creativity. Additionally, you should possess: a passion for non-profits/the arts, attention to detail, best practices in donor communications, a desire to work in a collaborative environment, and the ability to prioritize competing deadlines.
This job requires some evening and weekend work with schedules fluctuating around showtimes and events. It is a requirement that you see every show in our season, and it is encouraged to see the productions multiple times.
Internal
- Track work plans for shared projects with department staff
- Support in copy writing for internal messaging around donor policies, procedures and handbooks
- Create timelines and deadlines for approval processes with the Director Engagement, AD and ED to ensure proper sign off on donor materials
- Supporting community engagement and donor events
- Uploading development invoices to proper software
Operational Fundraising
- Administrative support for grant writing for operational funding
- Update key tracking devices for operational funding partnerships
- Proof and edit proposals for funding or sponsorships for season programming and performances
- Prepare weekly reporting metrics including sales and marketing slides
- Coordinate tax receipts
- Update Tessitura (CRM database)
- Prospect research and planning
- Support all operational fundraising announcements or stewardship events
- Track the sending/receiving of agreements for sponsorship
- Track all prospects, pending proposals, and agreements
- Write new contracts based on approved templates and negotiated benefits
- Filing and share drive organization
- Support in gathering prospective donor information and researching potential funding opportunities
- Manage calendar of deliverables deadlines for grants
- Assist the Director of Engagement as needed with items such as email management, drafting corporate proposals, board reports and overall organization
- Assist with stewardship program tracking and keeping department teammates on track to complete tasks
Engagement
- Support administration of events
- Coordination of events during evening and weekends

Working Conditions: This role will be a full-time permanent salaried position, working onsite Monday to Friday from 9:00am to 4:30pm. Work weeks are based off a 35-hour week, and with any overtime banked. Vacation time is accrued and can be taken throughout the year with prior approval.
Salary Range: $40,000 to $45,000 per year for the full-time position based on experience, paid bi-weekly.

Please note that parking is not provided for Globe Theatre employees. Bicycles can be brought into the building and secured, and multiple forms of public transit are easily accessible nearby.
