In this role, your organization and reliability will support essential operations across the Waterloo Office, helping Karis Disability Services deliver its work with excellence and care.

General Office Clerk
12 hours/week
Waterloo, Ontario

The General Office Clerk is responsible for handling all mail and shipments being sent from the Waterloo Office and handling all mail room processes and procedures. The incumbent is to ensure there are adequate postage and office supplies. They will be responsible to coordinate hospitality requests and supplies; ensuring the kitchen remains tidy and clean. The General Office Clerk is to act as back-up support for the Receptionist when needed and provides administrative support as requested by the Office Manager.

Key Responsibilities:

Mail Room Support

  • Responsible for all mail shipments being sent, including preparation of labels, keeping computer system up-to-date with program changes and maintaining postage supplies, such as bags, labels, etc.
  • Assign postage and Purolator charges to various programs or departments and ensure accurate billing and forward information to Account
  • Payable for processing. Also responsible for issuing bills for individual mail.
  • Handle any problems with respect to tracing and errors made by Purolator with respect to billings.
  • Assist program with Purolator set-up and use.
  • Facilitate special requests for mailings such as T4 mailing, tax receipts, etc.
  • Explore best shipping options for employees and departments for special requests.
  • Investigate shipping invoices from other companies and charging appropriately.
  • Facilitating international shipments involving broker and customs.
  • Process outgoing Canada Post mail- seal, stamp and record departmental/personal charges.
  • Take overweight shipments that are not Purolator to the post office.

Administrative Support

  • Processing Video Conferencing requests, facilitating equipment set-up and restoration, troubleshooting when difficulty experienced, coaching staff in usage, and completing paperwork.
  • Facilitating meeting room bookings.
  • Maintaining petty cash and reporting/submitting to Accounts Receivable.Required to provide administrative daily financial back-up when
  • needed.
  • Maintenance of copiers in Waterloo Office - loaded with paper, empty and clean waste toner containers, complete auto gradation, trouble-shooting with minor problems.
  • Order and maintain office supplies such as paper, letterhead, envelopes, cheques, etc.
  • Receive and complete administration tasks within assigned deadlines from managers in the Waterloo Office.

Hospitality and Kitchen

  • Maintain adequate supply of kitchen needs. Required to re-fill when supplies become low.
  • Providing hospitality (purchases, set-up, clean-up, room restoration).
  • Tidying the kitchen throughout the day and filling, running, and emptying dishwasher daily.

Reception Support

  • Fill in at lunch time and break time and during receptionist’s vacations / illness.
  • Includes answering telephone and managing switchboard and transferring calls.
  • Opening and routing daily mail and Purolator packages and preparing daily banking.

Requirements:

  • 1-3 months on the job.
  • High school Diploma or G.E.D.
  • Computer literacy.
  • Administration skills.
  • Organization and time management skills.
  • Accuracy for Purolator shipments.
  • Involves varying routine tasks.
  • Light physical effort
