What You Will Do

Review, validate, and process daily timesheets/daily sign-in sheets for accuracy and timely submission.
Complete and submit LEMs (Labour, Equipment, and Materials) in Maximo in accordance with project requirements and deadlines.
Prepare, maintain, and distribute the CDR (Contractor Daily Report) and other various internal and external cost and labour reports.
Maintain site filing systems and ensure project documentation is organized, accurate, and stored within company cloud-based platforms.
Update and maintain workforce schedules, crew rosters, and manpower records.
Assist with daily workforce coordination, including tracking personnel movements, site arrivals/ departures, and schedule changes.
Coordinate camp accommodations and charter flight bookings through INNfinity.
Arrange and manage commercial travel bookings for field personnel as required.
Support employee onboarding activities, including site access requirements, orientations, and workforce documentation.
Act as a liaison between field personnel and Payroll/Onboarding teams to assist with employee inquiries and administrative support.
Provide administrative support to site leadership and project teams, ensuring efficient day-to-day site operations.
Perform additional administrative duties and special projects as requested.

What You Will Bring

Experience in an Administrative role within the Oil & Gas industry; previous Site Administration experience is preferred.
Strong organizational skills with exceptional attention to detail and the ability to manage multiple priorities in a fast-paced environment.
Proficient in Microsoft Office Suite, with strong working knowledge of Excel and Outlook.
Experience with workforce scheduling, travel coordination, timesheet administration, and cost reporting is considered an asset.
Experience with Maximo, INNfinity, and CNRL systems is considered an asset.
Strong work ethic, positive attitude, and ability to work independently with minimal supervision.
Strong verbal and written communication skills in English.
Must be Fit for Duty at all times and able to comply with the Canadian Model for Providing a Safe Workplace, including alcohol and drug testing requirements.
Valid Class 5 Driver’s License with a current 3-year Driver’s Abstract.
Common Safety Orientation (CSO) is considered an asset.
