As GeoTility enters an exciting phase of growth and expansion, they are seeking a Project Coordinator to join their team in Kelowna, BC. Reporting to the Project Manager, the Project Coordinator plays a key role in supporting multiple construction projects from design through to completion by coordinating documentation, procurement, scheduling, site activities, and communication with vendors and trades, while helping ensure projects remain organized and on track.

Key Responsibilities

  • Support multiple geothermal construction projects simultaneously from design through completion, assisting Project Managers with planning, execution, monitoring timelines, deliverables, and close-out activities.
  • Coordinate and maintain project documentation, schedules, reports, files, and records, including shop drawings, RFIs, change orders, purchase orders, and close-out documentation.
  • Prepare and update AutoCAD drawings, record drawings, and as-built documentation, and use Bluebeam for take-offs, drawing coordination, and project documentation.
  • Assist with site surveys, field measurements, layout verification, quality control observations, and general field documentation, including occasional site visits and travel to project locations.
  • Support procurement activities by obtaining pricing and quotations, preparing purchase orders, coordinating material deliveries, and tracking invoices, receipts, and packing slips.
  • Compile installation records, testing documentation, quality records, and project photos, ensuring all project information is accurately maintained.
  • Coordinate communication and information flow between Project Managers, field crews, clients, consultants, suppliers, subcontractors, and internal departments.
  • Participate in project meetings, support follow-up actions, and help manage shifting priorities across multiple active projects.

Requirements

Education & Experience

  • Previous experience as a Project Coordinator within the construction industry is strongly preferred.
  • Experience supporting commercial, mechanical, HVAC, civil, or infrastructure projects is considered an asset.
  • General construction experience with transferable project coordination skills will also be considered.
  • Office administration experience within a construction environment is highly desirable.

Technical Skills

  • Intermediate to advanced Microsoft Excel skills.
  • Experience with AutoCAD is highly preferred.
  • Bluebeam experience is considered an asset.
  • Strong proficiency with Microsoft Office and project documentation.
  • Ability to learn new software and internal project management systems quickly.

Other Requirements

  • Valid Class 5 Driver's Licence.
  • Ability to travel to project sites throughout the Okanagan and occasionally outside the region.
  • Ability to lift up to 50 lbs on occasion.

  • Competitive salary $60,000 to $70,000 (commensurate with experience).
