Signature Editions Millwork Inc., a leader in custom-designed and crafted millwork since 1982, is seeking a highly organised and proactive Virtual Assistant to join our dedicated team. We pride ourselves on our master craftspeople and our ability to deliver exceptional projects, from large commercial installations to unique custom pieces. This role is crucial for providing remote administrative support to our busy project managers and leadership team, ensuring our operations run smoothly and efficiently. The ideal candidate will be a self-starter with outstanding communication skills and the ability to manage multiple priorities in a dynamic environment.

Responsibilities

Provide comprehensive administrative support to senior management and project teams.
Manage and organise calendars, schedule meetings, and coordinate appointments.
Handle professional correspondence, including emails and client communications, in a timely manner.
Prepare, format, and edit documents, reports, and presentations.
Assist with project coordination by tracking deadlines, updating project records, and maintaining digital files.
Conduct online research to support project needs, such as sourcing materials or gathering client information.
Maintain an organised system of digital files and company records.
Perform other administrative tasks as required to support the team's objectives.

Qualifications

Proven experience as a Virtual Assistant, Administrative Assistant, or in a similar administrative role.
Exceptional organisational, multitasking, and time-management skills.
Excellent written and verbal communication abilities with strong attention to detail.
High level of proficiency in the Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Experience with project management software and other collaboration tools is highly desirable.
Ability to work independently and take initiative with minimal supervision.
A high degree of professionalism, discretion, and confidentiality.
Experience within the construction, manufacturing, or design industry is considered a strong asset.
