SUMMARY

The Inside Sales Coordinator is the trusted point-person who keeps the Toronto Sales Team running smoothly. You provide sales and administrative support to the Toronto Sales Team, and Regional Sales Manager - making sure clients and colleagues get what they need when they need it.

This role is ideal for an organized multi-tasker who enjoys supporting others and thrives on variety. You'll juggle several assignments at once, interface with internal and external stakeholders, and rely on strong communication, relationship-building, and problem-solving skills every day. By responding quickly and thoughtfully, you help Keilhauer further its mission of making work comfortable for all.

PRIMARY RESPONSIBILITIES

1. Showroom & Client Presentations

  • Assists the sales team during client presentations as needed, including retrieving literature, samples or additional sample chairs.
  • Assists with event planning and coordination with the Toronto Sales and Showroom team.
  • Coordinates showroom scheduling with the Showroom team to avoid conflicts between client visits, presentations, and internal events.
  • Assists the Client Experience Coordinator with set up and breakdown for presentations, including furniture arrangement, AV needs, and refreshments as required.

2. Toronto Sales Team Support

  • Assists the Toronto Sales Team and Regional Sales Manager with quotations.
  • Assists in preparing and executing RFQs and RFPs by researching and compiling product information, company information and marketing materials, as requested by the Toronto Sales Team.
  • Provides administrative assistance to the Toronto Sales Team; including monthly forecasts.
  • Maintains a database of all Toronto clients, process and file all paperwork as necessary.
  • Acts as back-up for team members during absences and leaves.
  • Updates and maintains a database of all Toronto clients.
  • Fulfills memo requests through Material Bank and textile partners on behalf of designers and clients.
  • Pulls memo and card requests for sales reps, designers, and dealers, and organize them for shipment, if unavailable on Material Bank.

3. Client & Design Community Relations

  • Visits assigned interior design firms to showcase new products and build connections that drive future sales.
  • Attends design functions and events with the Toronto Sales Team as required.
  • Assists in maintaining and growing relationships with Architecture & Design (A&D) firms through regular check-ins, lunch-and-learns, and product education sessions.
  • Supports Continuing Education Unit (CEU) presentation scheduling and logistics with design firms.
  • Helps identify and flag new business opportunities or leads identified during client/firm visits, relaying them to the appropriate sales rep.

4. Team Collaboration & Shared Client Experience

  • Partners day-to-day with the Client Experience Coordinator, covering for one another during busy periods, absences, or shifting priorities so client needs are always met.
  • Coordinates with the Showroom Manager (Marketing) on showroom scheduling, event logistics and presentation standards; while this role resides in Sales and the Showroom Manager resides in Marketing, the two roles jointly own the showroom experience.
  • Pitches in on reasonable requests that fall outside the bullet points above when a client or teammate needs help; raises recurring gaps or unclear ownership with the Regional Sales Manager rather than leaving them unresolved.

QUALIFICATIONS

  • 2 years' experience working in an office support role; previous experience supporting a Sales team is an asset.
  • Completion of Post-Secondary Diploma or Degree.
  • Proficient in Microsoft Word, Excel, Outlook, PowerPoint, Access; experience with SyteLine or a similar ERP is an asset.
  • A valid driver's license, valid insurance and vehicle are required.
  • Strong interpersonal skills with a professional, welcoming manner; comfortable serving as the first point of contact for clients and visitors.
  • Comfortable with frequent physical activity, including moving and repositioning furniture and product samples; must be able to lift up to 50 lbs.
  • Background or connection to the commercial interior design industry is highly desired.

WORKING CONDITIONS

The Client Experience Coordinator works primarily on-site at the Keilhauer Toronto showroom at 150 King Street East or on the road assisting Sales Reps (approximately 1 day per week). The role involves frequent physical activity including moving product, cleaning, and setting up for events. The environment is professional and client-facing; a polished, professional appearance and business-casual attire are expected at all times.

  • Must be comfortable with frequent, dynamic interaction with clients and internal stakeholders.
  • Must be able to manage interruptions and adapt to priorities quickly in a fast-paced showroom environment.
  • Must maintain a sense of urgency and composure under tight timelines, particularly ahead of client presentations.
  • May occasionally be required to work additional hours to support evening events or special showroom functions.
  • Must follow all company and OHSA safety regulations; works in a safe manner and uses personal protective equipment when required; reinforces housekeeping and Keilhauer's core values.
